Event Manager

Operational lead for the event. Responsible for translating the programme into a coordinated execution plan and managing all venue-side logistics in collaboration with the event director and DGI Byen's production team.


Pre-event responsibilities

  • Submit all venue deadlines on time: Ex. furniture/banner/decoration orders (28 Aug), print-ready files (11 Sept), final orders (18 Sept)

  • Coordinate print and signage production: briefing design, ordering banners, wristbands and information signage, ensuring delivery and on-site placement

  • Manage special exhibitor requests and coordinate exhibitor orders ahead of the 9 September deadline (In collaboration with Øksnehallen) 

  • Coordination of goods and shipments (1 Oct, 9:00–15:00) and full setup day (2 Oct, 09:00–21:00)

  • Coordinate build day: booth and floorplan support, badge and wristband printing test, yoga mats, bolsters, blankets, decoration, banners, signage and all technical orders

  • Build and maintain the master runsheet (Production program)

  • Coordinate special assignments and partner requests between Community and Volunteer managers. 


Event weekend responsibilities

  • Primary point of contact for exhibitors and partners on-site across entire event + setup (Oct 2-4)

  • Oversee the Deep Dive Studio (Spisehuset) - scheduling, access, and facilitator flow

  • Coordinate the outdoor area: saunas, activations, and external suppliers

  • Manage AV and FOH coordination: ensure technicians have the runsheet, speaker slides and that stage handovers run to time

  • Coordinate pop-ups, sample stations, and any on-site activations with Volunteer & Community Manager.

  • Manage teardown & return of goods (4 Oct, 18:00–22:00)
