Automate User Lifecycle and ensure smooth global IT operations
The IT team is part of our People & Culture team, consisting of colleagues with unique specialties, but a shared purpose of making Vivino a great place to work. The team is based in Copenhagen. You will have one employee reporting to you, who acts as the primary point of contact for colleagues seeking IT assistance. Part of the job is to support and develop your employees while providing daily IT support and evolving the framework and backbone for solid IT operations. This includes continuously developing our Okta IAM platform with Automate User Lifecycle Management, improving operational security (email, network, endpoint), and streamlining the approach to SaaS applications. This means managing the entire SaaS lifecycle—from inventory evaluation, consolidation, and rightsizing to contract negotiation—while partnering with Finance to ensure budgetary compliance. You will act as a key liaison to stakeholders, striking a productive balance between strict adherence to policy and the pragmatic flexibility required to support evolving business needs.

Furthermore, your responsibilities will include the following:

  • Oversee the overall operation (both personal and tasks) of the ITSM system (wrangle.io) for ticketing, user lifecycle, and inventory management
  • Implement continual improvements to ticketing workflows based on user feedback and overall ticket volume
  • Continually evaluate the SaaS inventory and consolidate, up/downgrade where relevant, working with Finance to ensure that a budget is adhered to
  • Work with the internal Head of DevOps and VP of Legal to implement and maintain best security practices
  • Ensure the smooth operation of local and remote office locations (networking, printing, operational security, etc.)
  • Work with local office managers to maintain a local hardware inventory and enforce best practices. And keep IT hardware standards updated regularly in collaboration with finance and department heads to ensure users can work effectively within budget

We seek an IT Operations Manager who understands the importance of IT Operations for a company to grow, remain secure and compliant, and for employees to perform at their best. To succeed in this role, we envision you bringing a combination of technical expertise, a passion for people, and the ability to establish and maintain a robust IT infrastructure for employees. You work well as part of a team, are considerate towards others, and are good at coordinating. You seek to find the best solutions, taking into account time, budget, and business needs. While being approachable, you also find time to focus and identify areas for improvement. In your daily work, you are well organized and know how to plan ahead.

Furthermore, we would think you can demonstrate the following:

  • Several years of experience in IT Operations
  • Understanding and interest in leading and developing the team (currently one person) to grow and develop, both technically and personally
  • Experience implementing security tools and best practices
  • Not shying away from contract management and negotiation, budgeting, and stakeholder management
  • At Vivino, we work with Slack, Google Workspace, ITIL, and Okta, and this experience or similar will be viewed as an advantage
