Job Overview

At Khora, we have a growing office and ever-increasing Corporate and Social events at our Experience Centre in Kødbyen. We are looking for an office manager for a team of 25 based in Købyen that also has responsibilities for our corporate and social events with occasional shifts in our experience centre  

The ideal candidate for this role should demonstrate exceptional organizational abilities, superb interpersonal skills, excellent customer service, multi-tasking skills, and excellent time management.


Responsibilities and Duties

Office Management

  • Ordering and organizing office supplies and equipment 

  • Making sure that the fridge and the pantry are stocked

  • Manage lunch catering bookings and set up 

  • Answering the office phone and door, welcoming visitors and accepting packages

  • Liaising with suppliers about maintenance 

  • Be first point of contact for staff about anything related to physical office

  • Organizing company events and social gatherings

  • Water and love (occasionally rescue) the plants (there are many)

  • Never forget a birthday and order delicious cake

  • Booking transport and accommodation

  • Pick up mail, send packages, print material and other ad hoc tasks

 

Event Management

  • Handling incoming requests for company & school workshops, both inhouse and on location

  • Calendar management 

  • Budgeting and negotiation

  • Coordinate logistics

  • Execution of events

  • Learn about different VR headsets and experiences and be able to instruct others on how to use them

  • Work in close collaboration with the experience center manager, covering 2-4 shifts a month in the experience center (including the occasional Saturday)


Administrative support

  • Assisting the organization's HR function by keeping records up to date

  • Organizing induction programmes for new employees

  • Support the Finance Manager with expenses, invoices, and other administrative tasks

  • Implementing and maintaining procedures/office administrative systems

  • Ensuring that health and safety policies are up to date

  • Work with a variety of software packages

About you

The ideal candidate for this role should demonstrate great organizational abilities, and have good interpersonal and customer service skills. This is a role with many hats, so it is important that you are good at managing many different tasks simultaneously, and that you are thorough and detail oriented. It is essential that you have discretion and strong judgment in your communication, as you will have access to management-level activity at the company. You should feel comfortable communicating directly with clients and co-workers alike, over the phone, in person, or via email. We expect that you take pride in your job and will make sure that the office always has what it needs and looks tidy and welcoming, and that you enjoy working on both the practical and the administrative tasks. It is an advantage if you have a personal interest in/knowledge of virtual reality applications.
