About the team

You'll join an international payroll team of 8 people:

  • 3 based in Copenhagen: the Director of Payroll, plus colleagues covering France and Northern Europe

  • 5 based in Rambouillet/Paris, managing French payroll operations

Your working language is English. The team is distributed, collaborative, and operates with a high degree of autonomy. 📍 This Job is located in Madrid


Your Role as a Payroll Specialist — Spain & Portugal

As our first Payroll Specialist for Spain & Portugal, you will own the full payroll cycle for approximately 280+ employees across two countries:

Spain — 200+ employees

Tools: Ekon (payroll ERP), HiBob (HRIS), Edenred (meal vouchers)

Portugal — 80+ employees

Tools: Primavera, PHC ERP

You will take over from the current provider following a structured 2-month handover in September and October 2026, and be fully autonomous from November 1, 2026.


Your responsibilities

  • Run the full monthly payroll cycle for Spain and Portugal, end-to-end

  • Manage all social and tax declarations (Spain: SS RED, IRPF; Portugal: Social Security, IRS)

  • Maintain and update payroll data in Ekon and Primavera

  • Coordinate with HR on hires, exits, contract changes, and variable elements

  • Interface with HiBob for payroll input data (Spain)

  • Handle employee payroll queries

  • Ensure compliance with Spanish and Portuguese labour law

  • Report payroll data to Finance on a monthly basis

  • Document processes and contribute to audit readiness


About you

Must-have

  • 5+ years of hands-on payroll experience in Spain and/or Portugal

  • Deep knowledge of Spanish payroll compliance: Social Security (SS RED), IRPF, collective agreements

  • Knowledge of Portuguese payroll obligations: Social Security, IRS withholding

  • Experience with a payroll ERP (Ekon, Primavera, or equivalent)

  • English proficiency (mandatory — team working language)

  • Spanish and/or Portuguese at professional level

Nice to have

  • Experience in a carve-out, TUPE transfer, or entity integration context

  • Familiarity with HiBob or a similar HRIS

  • Experience with payroll system migrations
