Executive Assistant of the CEO

Salary DKK 500,000 - DKK 800,000

The Role

This role is designed to transform how the CEO operates.

As Executive Assistant to the CEO, you’ll be my force multiplier: you’ll bring structure, increase throughput, and remove tasks from my plate that should not be handled by the CEO. You’ll proactively optimize my workflow, build an operating rhythm, and ensure the right work happens—even when I’m out for a day.

This is not a “calendar-only” EA role. You will:

  • Dive deep into the company and my work life, building a real understanding of what must get done, what can be delegated, and what requires CEO attention.

  • Route and delegate tasks to the right people across the organization when they don’t require me, and then drive follow-through to closure.

  • Build and maintain a clear system so that if I’m unavailable, you still know what the day/week should look like and can keep momentum.

This role is high ownership and high intensity. It’s not a clock-in/clock-out job. We care about outcomes, responsiveness, and reliability in a fast-moving environment.

You’ll work with high confidentiality and communicate with internal personnel, customers, partners, and external stakeholders—mostly in English.

 

I'm a young guy running a lean team and I move fast when necessary. My weeks are a mix of partner conversations, product/ops decisions, and keeping the company unblocked—often across time zones and sometimes while traveling. There's a lot of context-switching throughout each week. I’m direct, and I value people who speak plainly, surface risks early, and close loops relentlessly. You’ll have high trust and real authority to protect focus, reroute work, and create structure around what matters most.

 

This is the first time I'll be having an assistant.

 

I’ll give you context, trust, and room to run. I want an EA who builds systems and makes judgment calls—not someone waiting for instructions. You can expect direct feedback, quick decisions, and a culture where performance is recognized. In return, I expect proactive communication, strong prioritization, and reliable follow-through so the company keeps momentum even when I’m offline or in transit. I expect you to be exposed to a lot of chaos, and create structure. Also, you can push back on my own or the team's ideas. If something doesn’t make sense, say so—bring options, tradeoffs, and recommendations.

What you will do

CEO Operating System (workflow + structure)

  • Build and run a lightweight “CEO operating system” (priorities, pipelines, recurring responsibilities, decision log, action tracker).

  • Create structure around my day/week: daily brief, weekly planning, meeting preparation cadence, and follow-up routines.

  • Identify recurring CEO tasks that can be standardized, templated, automated, or delegated—and implement that.

Triage, Routing & Delegation (critical)

  • Own triage across internal systems and internal + external communication channels: determine what needs CEO attention vs. what can be handled by others.

  • Delegate tasks to the right owners with clear context, deadlines, and success criteria.

  • Track actions to completion, follow up relentlessly, and ensure nothing drops (“close the loop”).

Calendar, Prioritization & Gatekeeping

  • Own and optimize the CEO calendar across time zones (prioritization, buffers, deep-work blocks, fast rescheduling).

  • Improve meeting quality: ensure meetings have purpose, agenda, correct attendees, and clear outcomes.

  • Protect CEO time and reduce noise—politely but firmly.

Meetings, Decisions & Follow-through

  • Prepare agendas, pre-reads, and stakeholder context briefs.

  • Capture decisions, next steps, and owners; keep an action tracker that actually gets closed.

  • Coordinate with the team to reduce CEO bottlenecks and keep execution moving.

Travel & Logistics (50-80 days/year)

  • Plan and manage end-to-end travel: flights/hotels/ground transport, last-minute changes, and backup plans.

  • Run the “day-of” schedule during travel: confirmations, locations, timing, materials, contingency.

  • Handle expenses, receipts, reimbursements cleanly and predictably.

  • Travel alongside the CEO.

Deep Company Context & CEO Coverage

  • Build deep understanding of our goals, key initiatives, stakeholders, and internal operating rhythms.

  • If the CEO is out: help keep priorities moving, unblock others, and ensure time-sensitive tasks are handled appropriately.

  • Maintain a clear view of “what the CEO should be doing” and keep progress moving even under ambiguity.

AI-First Execution

  • Use AI to increase speed and quality: drafting, summarization, prioritization, meeting prep, follow-ups, templates, and automations.

  • Build AI-enabled workflows (e.g., meeting briefs, email drafts, action extraction, Notion updates), while respecting confidentiality and good judgment.

About you

Must-haves

  • 2+ years experience as an EA/PA (or equivalent high-trust role supporting senior leadership).

  • Fluent English (written + spoken); ideally also fluent Danish.

  • Extremely structured and reliable; calm under pressure and change.

  • High judgment + discretion (comfortable handling sensitive information).

  • Comfortable delegating through others and driving accountability without micromanaging.

  • Based in/near Aarhus and able to travel 50-80 days/year.

Helpful / “Unicorn traits”

  • Experience from fintech/crypto/payments or other high-complexity environments.

  • Experience supporting a founder/CEO in a scale-up.

  • Strong process mindset: you naturally systematize, document, and improve workflows.

  • Strong AI workflow instincts (you’re excited to operationalize AI—not just “try it”).
