As Head of Workplace & Wellbeing, you will lead the workplace experience across all Shine offices, while owning the day-to-day operations of our Paris office. Based in Paris, you will manage and develop the Workplace & Wellbeing team across locations, align standards between offices, and make sure our spaces are safe, welcoming and efficient.
You combine hands-on office leadership with team management and cross-country coordination. You enjoy making things run smoothly, putting structure where needed, and creating the kind of workplace where people genuinely like to come in.
Your responsibilities will include:
Lead the daily office management of the Paris office (very hands-on and present on site).
Lead, mentor and coordinate the Workplace & Wellbeing team across all locations. Own and harmonise workplace & wellbeing standards across France, Germany, Denmark and the Netherlands.
Manage budgets, expenses and cost control for workplace operations. Oversee vendor and contract management (cleaning, security, maintenance, supplies, services).
Ensure workplace safety and compliance (fire safety, evacuation, health & safety basics).
Plan and optimise office layout and space usage – including future office moves or expansions.
Coordinate and support events: office rituals, celebrations and one larger winter party per year.
Run and continuously improve the onboarding journey for new employees together with People & Culture.
Coordinate travel, logistics and practical support for teams when needed.
Collaborate closely with IT (workplace tools and equipment), People & Culture and local leadership to align workplace with business needs.
Act as a warm, approachable point of contact for employees on all workplace topics.
In your first months, you will:
Get to know our Paris office in depth: people, routines, vendors, costs and constraints.
Build strong relationships with the Workplace & Wellbeing team and your key partners (Talent Acquisition, People Partnering, IT, Finance).
Stabilise daily operations in Paris and introduce quick wins that make life easier for employees.
Clarify roles, task distribution and service standards within the Workplace & Wellbeing team.
Propose a simple, clear roadmap for the next 12 months, including how we move towards more aligned standards across offices.
📍 Job located in Paris, with regular presence in the office and the possibility of some remote work. Occasional travel to other Shine offices is expected.
5+ years experience in office / workplace / facilities management, including operational responsibility for at least one office in France.
Experience leading a small team and being the go-to person for workplace topics, ideally across more than one location.
Strong budgeting and expense control mindset; comfortable managing and tracking workplace costs.
Solid experience with vendor and contract management (cleaning, security, maintenance, office services).
Knowledge of workplace safety and compliance requirements (e.g. fire safety, evacuation, basic H&S).
Experience planning or leading an office move or refurbishment is a strong plus.
Comfortable organising events and coordinating logistics (from small rituals to larger parties).
Fluent in French and English; other European languages are a plus.
Warm, welcoming and service-oriented, with strong organisational skills and attention to detail.
Calm under pressure, able to handle unexpected situations and solve practical problems quickly.
Proactive, adaptable and able to prioritise effectively in a fast-changing environment.
