Mobal is a leading B2B software company specializing in helping brick-and-mortar businesses optimize their presence on Google Maps, Apple Maps, and other major navigation platforms. To support this growth, we are seeking a highly organized and proactive Executive Assistant / Operations Manager to streamline administrative and operational processes, enabling the CEO to focus on strategic growth, partnerships, and leadership.
Position: Part-time (20 hours per week)
Location: Remote or Helsinki office
Compensation: €1,500 - €2,000 per month (based on experience)
The Executive Assistant / Operations Manager will be essential in ensuring the CEO can focus on strategic growth by managing administrative tasks, streamlining processes, and keeping business operations running smoothly. The ideal candidate is highly organized, detail-oriented, and proactive, with strong independent execution skills.
1. Administrative & Executive Support
Manage the CEO’s calendar, scheduling meetings, and prioritizing tasks.
Handle email correspondence, follow-ups, and document organization.
Prepare meeting agendas, attend leadership team meetings, take notes, and ensure follow-up actions are completed.
Draft and proofread reports, presentations, and communications.
Start and end each week with the CEO to align on priorities, review completed work, and plan ahead.
2. Financial & Operational Tasks
Assist with sending invoices, tracking payments, and coordinating with accounting partners.
Full ownership of payroll processes and employee reimbursements.
Oversee the company’s Employer of Record (EOR) function, ensuring compliance and smooth operations.
Gather and organize invoices for accounting and financial reporting.
Assist in updating and maintaining P&L statements and financial records.
Provide a weekly report to the CEO on cash flow status and financial KPIs.
3. Team Support & Internal Operations
Conduct eNPS surveys and assist in team culture initiatives.
Support marketing, sales, product, and customer success teams with a variety of tasks as needed.
Support in hiring processes, onboarding new employees, and managing HR documentation.
Ensure smooth communication between departments and assist in team coordination.
4. Process Improvement & Automation
Identify areas for automation and efficiency improvements across operational processes.
Improve and innovate to streamline administrative work (e.g., Notion, Remote, Netvisor, Slack).
2+ years of experience in an Executive Assistant, Operations Manager, or similar role.
Strong organizational and multitasking skills with a high level of attention to detail.
Excellent communication skills in English, both written and verbal. Finnish and Swedish are seen as beneficial.
Proficiency in productivity tools (Google Workspace, Slack, Notion, project management tools).
Experience handling financial processes, invoicing, and payroll is a plus.
Ability to work independently, take initiative, and problem-solve effectively.
Ability to challenge the status quo and find new solutions to drive operational efficiency.
Experience in a fast-paced startup environment is a plus.
