We’re looking for an energetic, responsible and detail-oriented individual to be our new administrative assistant. Do you love to have things in order, acing the art of document management, and are keen to get to the core of any task? Then this job is for you!
Develop and maintain a system of data management and filing
Update and maintain office policies and procedures
Communicate with participants of The Shortcut programs
Assist in the preparation of project reports and other reports of the organization
Assist in the preparation of internal documents and contracts
Prepare information for monthly accounting (travel expense claims, receipt management)
Continuously verify purchase invoices in the accounting system
Create sales invoices
Prepare and provide information for the payroll calculation (management of the holiday schedule, sick leaves etc)
Provide general support to visitors
Support team with other relevant tasks
Solid knowledge of Microsoft Office and/or Google Workspace (Word, Excel)
Great organizational skills & high-level of detail orientation
Comfortable with multitasking and able to manage several tasks at the same time
Great teamwork skills and a customer service attitude
Ability to withstand repetitive tasks
Excellent communication skills in English
At least intermediate understanding of written Finnish (some documents for payroll and invoicing are only available in Finnish and you need to be able to navigate them)
Understanding of basic HR practices
Understanding of basic Finnish employment legislation
Experience with accounting systems
