Arctic15 and Nordic Deep Tech Business summit are our two major annual events where we bring together a diverse group of entrepreneurs, investors, and industry leaders to share their experiences, insights, and knowledge about the latest trends and opportunities in the startup ecosystem.
We are currently looking for a passionate Event Specialist to lead our overall event operations. In this position, you will be able to get hands-on experience in the planning, coordinating, and executing events of different sizes & formats. You will have the opportunity to work with experienced event professionals and learn the ins and outs of both startup ecosystem & event management in a fast-paced, innovative startup environment. This is a permanent full time role with a salary range of €2200 - €2500/month depending upon your experience. As an Event Specialist,

RESPONSIBILITIES
Plan in-person and online events from start to finish according to requirements, be the point of contact for all customers, target audience and objectives.
Research and secure venues, vendors, and other necessary resources for events.
Responsible for budgets, vendor contracts, invoicing and meeting financial targets set by the event goals.
Ensure all event-related materials, including signage, presentations, and promotional materials are produced and delivered on time.
Track and report on event metrics, including attendance and feedback, to measure the success of events and make recommendations for improvement.
Lead promotional activities for the event using the website, social media and email marketing tools.
Assist with other ad hoc event related tasks.
REQUIREMENTS
Minimum 2+ years of experience in event planning and coordination, preferably in a startup or tech environment.
Bachelor's degree in hospitality management, event planning, PR, Marketing or other relevant fields.
Excellent organizational and project management skills.
Excellent verbal and spoken skills in English, fluency in Finnish being a plus. Our organizational language is English but we might need Finnish fluency when dealing with some of the vendors and other third party contractors.
Strong attention to detail and the ability to work in a fast-paced, deadline-driven environment
Proficiency in event management software and tools, including ticketing and registration platforms, project management tools, and design software.
Flexibility to work evenings and weekends as needed to support event planning and execution.
PRACTICALITIES
This is an on-site role, and the candidate must be present at our office to carry out the job responsibilities. Remote work is not permitted.
