What you’ll be doing

As our executive assistant, you serve as the primary point of contact for everything pertaining the CEO, representing him to others. You act as a focal point in all administrative matters and build strong day-to-day working relationships with all relevant stakeholders.

In this position you will act as a partner to the CEO to ensure company projects and initiatives are executed under his direction. This role also supports other initiatives from the leadership team and the Board of Directors, ensuring all administrative matters run smoothly an enabling the leadership team to focus on strategy and direction. You will work closely with HR, Finance, Marketing and other departments to support and enable our teams.

This position also serves as a liaison to the Board of Directors and senior management teams and oversees special projects, along with performing other administrative and office manager related duties.


In this role, you will:

  • Handle and manage all administrative matters of and for the CEO, allowing him to focus on his main responsibility of driving the business. This includes: management of calendar and scheduling conflicts, email, presentations, reports, research, travel coordination, expenses, and other ad-hoc tasks as requested by the CEO.

  • Perform tactical and administrative support tasks for the CEO and Leadership.

  • Under the delegated authority of the CEO, ensures business initiatives are moving forward.

  • Drive CEO’s plans and initiatives, managing the workflow and problem-solving from concept through to completion.

  • Responsible for administering the Board of Directors: Schedule meetings, oversee preparation, write minutes and follow-up with actions and tasks.

  • Schedule appointments, meetings, and travel for the CEO and the leadership team. Answer and screen the CEO’s email, phone, and other correspondence.

  • Prepare and approve expenses on behalf of the CEO.

  • Prepare executive presentations, pitch decks, summaries, and other documentation.

  • Proactively support members of the leadership team with respect to their administrative tasks and processes.

  • Attend leadership and board meetings, write minutes, manage and organize actions.

  • Properly maintain executive records, Board minutes, corporate files, and reports to facilitate easy and quick retrieval of documents upon request.

  • Maintain a clear understanding of the CEO’s deadlines, priorities and objectives.

  • Organize events.

  • Ensure the office premises run smoothly.

  • Contribute to effective department and company operations by performing other related duties as assigned.

In addition, we need you to:

  • Be fluent in English, our working language.

  • Have a Bachelor’s degree or relevant experience.*

  • Live in (or be willing to relocate to) Oslo, Norway (Relocation assistance is provided)

  • At least 3 years of experience as an Executive Assistant, assisting C-level and international teams.

  • Experience in general administrative skills.

  • Very good attention to detail.

  • Ability to work independently with little supervision, taking initiative and making decisions according to company policy and strategy.

  • Experience driving projects to completion, executing and following up plans and initiatives.

  • Discreet and trustworthy, able to handle confidential information with a high degree of care.

  • Very good Office 365 skills, specially PowerPoint skills.

  • Excellent verbal and written communication skills in English.

  • Ability to work effectively in a fast-paced, multi-tasking environment.

  • A team player with good communication and interpersonal skills.


* Non-EU/EEA citizens must have completed a bachelor’s degree to be eligible for a work permit in Norway.


Nice to have

  • Experience in project management.

  • Fluency in other languages: Norwegian, Swedish, Danish, Mandarin Chinese, Japanese, Portuguese or Spanish preferred.

  • Experience in fast-growing company in the tech sector.

  • Good financial understanding.
